Job Title: Finance & Administration Assistant
Classification: Full-time, Exempt
Reports to: Director of Finance & Administration
Compensation: Salary Range — $47,000-$55,000 per year. Actual salary will be based on relevant job experience and work history

Principal Responsibilities:
Accounting – 80%
- Process EFT deposits through Square, Etsy and Patron Manager and enter into QuickBooks daily
- Process accounts receivable, including invoicing, collections, and deposits weekly
- Process accounts payable including ensuring authorization, data entry, and filing weekly
- Deposit cash and checks received and enter into Quickbooks daily/weekly
- Enter payroll into QuickBooks bi-weekly
- Administer staff credit cards, including transaction entry, coding, reconciliation, and payment
- Monitor petty cash use and balances, including coin-operated laundry facilities
- Maintain back-up change for box office and concessions
- Maintain digital and paper accounting filing systems
- Assist in creation of reports for funders, auditors, and regulatory bodies as needed
Other – 20%
- Design and digitize administrative documents
- Order office supplies for the office
- Support front desk during daytime hours including greeting visitors and answering the phone as needed
- Assist Director of Finance and Administration with goals and projects as needed
- Manage Job opening postings
- Attend weekly staff meetings

Preferred Experience:
- Experience with nonprofit bookkeeping; QuickBooks knowledge preferred
- Database experience, preferably Salesforce/Patron Manager
- Comfort with technology

Organization Participation Expectations: In addition to the job related tasks for this position, Creative Alliance expects all staff to participate in organization events and activities. Major Organizational Events & Projects: Art To Dine For, The BIG Baltimore Kite Fest, The Marquee Ball, The Great Halloween Lantern Parade, Social justice and racial equity, diversity, and inclusion training and activities, Strategic Planning, Board/Staff Annual Retreat(s)
